Company Christmas party invitation: wording and planning

The end-of-year party is often the most anticipated moment in a company's calendar: you thank your teams, celebrate the year and sometimes welcome clients and partners too. It all starts with the invitation. Here is when to send it, what it should include, ready-to-use wording for every tone, and how to collect replies without a spreadsheet.

Example InviteTo card: Client evening and gala

When to send the invitation

December is the busiest month of the year: packed diaries, family gatherings and other work parties. For a staff-only party, send the invitation four to six weeks before the date. If clients or partners are invited too, allow six to eight weeks: their diaries fill up quickly.

If the date is set as early as September or October, a short save the date blocks it early, then the full invitation follows a month before with the programme. You'll find wording ideas in our guide to save the date wording.

The essential details

An end-of-year invitation should answer every guest's questions at a glance. Each missing detail turns into dozens of questions for the organising team.

Think about dietary requirements too: asking in the reply whether someone is vegetarian or has an allergy saves a lot of trouble with the caterer.

Wording for a staff-only party

The tone depends on your company culture. Here are three examples to adapt, from the warmest to the most formal.

Dear team, what a year! To celebrate together, Meridian Consulting invites you to our Christmas party on Friday 10 December 2027 from 7pm at the Pavilion of Lights. Drinks, dinner and dancing: we're counting on you! Please reply by 26 November.

The whole Nova One team is invited on Thursday 9 December 2027 at 7.30pm to celebrate a year full of projects. On the programme: a word from the management, dinner and a few surprises. Smart dress welcome. Please reply by 25 November.

The management of Maison Arlo is pleased to invite you to our end-of-year dinner on Friday 10 December 2027 at 8pm at St Paul's Studio. Partners are most welcome. Kindly confirm your attendance by 24 November.

Wording when clients and partners are invited

With external guests, the wording becomes more formal and focuses on the relationship: you thank them for their trust throughout the year. Mention the name of the person sending the invitation; it gives the invitation more weight.

To thank you for your trust throughout the year, Meridian Consulting is delighted to invite you to our end-of-year party on Friday 10 December 2027 from 7pm at the Pavilion of Lights. We would be very pleased to share this evening with you.

Claire Martin, Managing Director of Maison Arlo, and the whole team invite you to an end-of-year drinks reception on Thursday 9 December 2027 at 6.30pm in our new offices. A chance to catch up and raise a glass to the year ahead.

Nova One invites you to celebrate the end of the year over dinner on Wednesday 8 December 2027 at 7.30pm. On the programme: the highlights of the year, our plans for 2028 and a convivial evening. Please reply by 22 November.

Planning the party: the timeline

A successful party is prepared well before the invitation goes out. Here is a simple timeline to adapt to the size of your company.

For the reminder, a short, friendly message is enough: our guide to following up with guests offers ready-to-use templates.

Getting every reply in on time

This is often the most tedious part: replies arrive through every channel, in person by the coffee machine, by message, by phone. The day the caterer asks for the exact number, nobody really knows who is coming.

The most effective solution is a single link where everyone replies in two clicks, with the number of guests and any dietary requirements. Sent by SMS, it is read almost immediately, on the phone everyone always has to hand. The rules and the best times to send are explained on our page about sending invitations by SMS.

Your end-of-year party with InviteTo

With InviteTo, you design an invitation online that reflects your company: logo, brand colour, party programme, directions and an animated opening. As soon as you pay, your private platform is ready: link, QR code and every reply in real time, with a list ready for the welcome desk and the caterer.

Share the link yourself (Design plan, €189), or we send the invitation to every colleague and client by SMS (Design + SMS Sending plan, €289, 100 texts included). It works just the same for your family celebrations. Compose my invitation or see our client evening invitations.
